The auto dialler stores Facsimile numbers that are regularly used. These can then be conveniently and quickly retrieved for immediate dialling.

AUTOMATIC FAX/PHONE CHANGEOVER

FACSIMILE

The automatic fax/phone changeover facility will allow a single telephone line to cope with both incoming telephone and facsimile calls. The machine answers the call and listens to the incoming sound. If it hears a Facsimile signal it switches to fax mode, if not it switches to telephone mode and produces a secondary ringing to alert the user. This can also be used in conjunction with the answer machine interface.

This will reduce costs as only one telephone line is required. Time will be saved as the machine will deal with facsimile calls automatically, with only telephone calls requiring the user’s attention.

Batch transmission allows multiple documents that are for the same destination and do not need to be sent immediately, to be scanned into the machine at different times of the day, and then sent as one transmission at a pre determined time.

The machine will not be tied up with non-essential transmissions during the working day, this will free up more Staff time.
By sending them at the same time, running costs will be reduced by using the most cost effective time to send especially if sending abroad.

Black and white reverse produces an exact negative copy of the original document without changing the page’s orientation.

BLOCKING UNWANTED FAXES

This feature can prevent the reception and subsequent cost of receiving unwanted facsimile information. The number of the offending machine is input, and then all further receptions from that number are blocked.

Every year hundreds of thousands of unsolicited and unwanted pages are received. This represents a substantial cost. By blocking receptions from these numbers the cost of printing out the unwanted page is removed. Staff will save time as they will not have to sift through incoming information to dispose of the unwanted material.

Booklet copy mode will scan all of the originals to be used in the production of the booklet. It will then format the order of the pages to ensure the finished article is printed out correctly.

BROADCASTING

FACSIMILE

Broadcasting is a very efficient and speedy way to send the same document to more than one location, without the need to re-insert the original and dial each time. The machine will send the document to each number selected, if the number is engaged, it will be returned to later. When the Broadcast is finished a report will be generated. Security will be improved as sensitive and confidential documents are less likely to be sent to the wrong location.

Time will be saved, as a document sent to 50 locations will take fractionally longer involvement for a member of Staff, than sending to a single location.
If this facility is regularly used, a single button can be programmed which will reduce Staff frustration and reduce queues at the machine.
Security is enhanced with less worries about the documents being sent in error to the wrong people.

BY-PASS PAPER FEED

The By-Pass Paper feed is a straight paper path through the machine that will allow reliable feed of much heavier paper, card and even labels in some cases up to 200gsm in weight.

For short jobs, rather than interfere with the main paper supplies it is more convenient to place the required paper etc on the BY-Pass Paper supply.

Safer feeding of heavier paper etc, with less jams, will save time.
Staff will be able to copy onto unusual things more quickly, and are less likely to leave unused material in the machine.

By then keying in a code the Confidential document will be printed out as you wait.

When documents are transmitted Confidentially, they do not automatically print out at the receiving machine. When a code is entered, the Confidential document is then printed out.

This offers a confidential information exchange, and complete control over access to incoming documents from the facsimile machine.

COPY AUDITOR

Copy Auditor requires a pin number to entered to use the machine. The auditor can store information to do with usage and can provide levels of restriction, such as the quantity of copies that can be asked for.

COPY INTERRUPT

The Copy Interrupt facility allows a long copy job to be interrupted for something urgent. This is without the need to cancel the existing job completely, which would require re-starting the original work from the beginning. This facility will remember how far the original job had progressed and will continue from the point of interruption.

Time will be saved by removing queues for higher prioritised work.
Staff will benefit from the removal of the frustration of waiting.

COVERS MODE

Covers mode allows automatic placement of covers onto finished documents. The material used for the covers is normally placed in a straight paper path supply, such as a "by pass" so that heavier material than usual can be used. Front and back can be placed on each finished set, information can even be printed on the front cover.

Covers mode will save time for Staff as they will not need to manually lay out documents to place covers.

DELAYED TRANSMISSION

The Delayed transmission facility allows documents to be sent at a particular time over a twenty four hour period. The process is straightforward, requiring only a send time to be input.

Dual Access allows a Document to be scanned into memory ready for sending, whilst the machine is receiving an incoming document or printing out something already received. It also allows automatic receiving when scanning a document.

EDGE AND CENTRE ERASE

PHOTOCOPYING

The edge and centre erasing feature will delete an area around the outside of a document and if centre erase is used, along the centre line. The amount of deletion is variable, and is particularly useful for removing shadows when copying books, and for removing edges and unnecessary details from Facsimile receptions etc.

Presentations and document quality will be improved with this feature. Staff time will be saved as it removes the need for manual editing. Sensitive and confidential data can easily be removed from copies.

Electronic sorting provides collating of sets of documents without the need for an external mechanical "sorter". This can be with short runs or long and involved copy or print jobs.

As Electronic collating requires no external mechanical device it will represent a lower cost than a conventional sorting device.

FINISHERS

PRINTING, PHOTOCOPYING

Finishers offer more flexibility with where the document arrives when it is printed out. If there is only one output tray then everything ends up in one pile. Finishers will direct the finished copy or print to a specified location to ensure fast, easy retrieval. This can be used in conjunction with many other facilities including, stapling and hole punching.

Staff will benefit from saved time and greater convenience with a finisher. Documents are far less likely to become mixed up with another copy or print job.

FIRST COPY TIME

If high proportion of the photocopying to be produced is single copies, or perhaps two or three copies, the speed that a photocopier the first page is more important than the claimed "copies per minute" figure.

Time will be saved when waiting for the first copy.
Queues at the machine will be reduced with single copy type jobs.
Staff frustration will be kept to a minimum, and productivity to the maximum.

FIRST PRINT TIME

The speed that a printer or facsimile machine produces the first page, or print can vary considerably. Although a device may claim a high "pages per minute" figure, this is not so relevant if most of your documents are single prints. In conjunction with "Memory", printers especially can be very productive on multiple, short print runs.

Time will be saved when waiting for the first print.
If several print jobs are sent close together, a fast first print speed machine will process them quicker than a high "pages per minute" machine.

MARGIN SHIFT

Margin shift will move the image across the page to allow a "binding margin"
The amount of movement Margin shift will apply, and the direction will be determined by the user. Some machines will allow differing amounts of movement between the two sides of a double-sided document.

Margin shift will ensure that if holes are punched in documents, or if a document needs to be clipped to a note board, text is not lost.
This will reduce wasted copies, and so will reduce wasted time and costs.
